Troubleshooting: Miscategorized Expense in Tax Planner

Why category matters #

Every expense category in PriceRight Pro maps directly to a line on Schedule C and feeds your Tax Planner totals. If an expense lands in the wrong category โ€” for example, a vehicle repair gets logged as Materials โ€” it shows up in the wrong bucket in your tax summary and your Expense Breakdown in Business Pulse. Fixing it is straightforward and takes effect immediately.


Fix a miscategorized expense #

Find the expense in one of three places:

  • On a job: open the job โ†’ Expenses tab โ†’ tap the expense row
  • Standalone expense: open Expense Tracker from the home screen โ†’ tap the expense row
  • From Business Pulse: open the Expense Breakdown card โ†’ tap a category โ†’ tap any row to open the expense

The expense editor opens with nav title Edit Expense. In the What was this? section, tap the Category picker and choose the correct category from the full list. Tap Save.

The change takes effect immediately. Your Tax Planner totals, Quarterly Tax Estimator, and Expense Breakdown in Business Pulse all update as soon as you save โ€” no manual refresh needed.


AI Receipt Scanner categorized it wrong #

The AI scanner extracts categories from receipt text and is accurate on most receipts, but it can misread ambiguous vendors. A hardware store receipt might land in Materials when you intended Tools & Equipment, or a gas station receipt might go to Fuel when the purchase was actually a supply item.

Whenever you scan a receipt, review the category field before tapping Save โ€” the pre-fill is a suggestion, not a confirmed classification. If it lands wrong after the fact, use the Edit Expense flow above to correct it. One tap in the Category picker is all it takes.


A whole category is wrong #

If you’ve been logging a recurring expense type โ€” fuel, phone bill, insurance โ€” in the wrong category for months, you’ll need to edit each record individually. The fastest approach:

  • Open the Expense Analytics dashboard in Business Pulse โ†’ tap the incorrect category โ†’ all expenses in that category are listed
  • Work through the list, tapping each row and correcting the category
  • For recurring subscriptions logged via the Recurring Expense feature, edit the subscription record once โ€” the category change applies to the template going forward, but past auto-logged entries will still need individual correction

For the current tax year, it’s worth doing this before your year-end P&L export so your accountant receives clean, correctly categorized data.
