Export Your Books to FreshBooks or QuickBooks

Open the Accounting Export #

Open Export for Accounting from the Tax Planning section. The nav title is Export for Accounting. A SmartScope badge sits in the top center and a Done button closes the sheet.


Choose your platform #

In the Export To section, select either FreshBooks or QuickBooks Online from the segmented picker. The footer confirms the format: FreshBooks shows “Generates CSV files you can import directly into FreshBooks under each section” and QuickBooks Online shows “Generates CSV files compatible with QuickBooks Online’s Import Data feature.” Selecting the right platform ensures the CSV maps cleanly on import without manual column remapping.


Select what to export #

In the What to Export section, toggle on any combination of six data types — Clients and Expenses are on by default:

  • Clients — your client contact list: names, companies, emails, phones, and addresses
  • Expenses — all logged business expenses with date, category, vendor, amount, and payment method
  • Items & Services — your price list: service names, descriptions, and rates
  • Vendors — vendor records from your expense history
  • Invoices — closed invoices with invoice number, client, date, line items, and amounts
  • Other Income — income entries that fall outside your standard invoiced revenue

Each type exports as its own CSV file. The share sheet delivers all selected files at once.


Set the date range #

In the Date Range section, pick a preset from the Range picker. Six options are available:

  • This Month — current calendar month to date
  • This Quarter — current quarter to date
  • This Year — current tax year to date (most common for annual bookkeeping)
  • Last Year — full prior tax year (use this for end-of-year handoff to your accountant)
  • All Time — everything in your account
  • Custom — set a specific start date (“From”) and end date (“To”) using date pickers

The section footer clarifies scope: “Applies to Expenses, Invoices (QuickBooks Online), and Income. Clients, Items, and Vendors export all records.” — so your contacts and price list always export in full regardless of date range.


Export and send #

Tap Export N CSV File(s). PriceRight Pro generates one CSV file per selected type, formatted for the platform you chose. While generating, the button shows “Generating…” with a progress indicator. The iOS share sheet opens with all files attached — AirDrop them to your laptop, email them to your bookkeeper, or save them to Files. After the export, a summary below the button confirms how many records were included in each file.

A How It Works note at the bottom of the sheet explains: “PriceRight generates CSV files formatted for your accounting platform. Share them via email, AirDrop, or Files — then import them into [platform name] under their Import Data section.” If you’ve selected Other Income for FreshBooks, an orange note adds: “Note: FreshBooks requires you to email the Income CSV to their support team for import. It cannot be self-imported.”


Importing into FreshBooks or QuickBooks Online #

In FreshBooks or QuickBooks Online, use the platform’s standard CSV import tool. Because PriceRight Pro formats columns to each platform’s specification, no column remapping is required — import the file as-is. For Expenses and Invoices, review the imported records briefly after import to confirm categories and tax codes mapped correctly for your setup.
