Livestream SmartScope: Event Setup, Crew, Platform & Tech & VOD & Delivery

Open Livestream SmartScope #

Open a Video Production job and tap the ๐Ÿ“ก button in the toolbar. The Livestream SmartScope sheet opens. A SmartScope badge sits in the top-right corner and a Done button closes the sheet at any time. Changes save automatically every time you update a field โ€” you won’t lose work if you swipe to dismiss.

Four tabs run across the top: Event Setup, Crew, Platform & Tech, and VOD & Delivery. Each tab has an Apply button at the bottom that saves that tab’s data and advances to the next one. Work through them in order for the cleanest flow, but you can switch tabs freely at any time.


Tab 1 โ€” Event Setup #

Four sections scope the event:

  • Event Details โ€” set the event type, venue type, and production complexity. These selections drive default crew recommendations in the next tab
  • Schedule โ€” set the number of event days (1โ€“30, stepper) and the stream duration in hours
  • Cameras โ€” set the total camera count (1โ€“20). A note reads: “Breakdown camera types in the Crew tab after applying.” The optional Camera Breakdown section lets you specify camera types and quantities if you want that detail in the estimate now
  • Setup & Strike โ€” toggle Bill Setup & Strike Separately to add setup hours, strike hours, and a setup/strike hourly rate as separate line items

Tap Apply Event Setup to save and move to the Crew tab.


Tab 2 โ€” Crew #

Three sections build your crew cost:

  • Livestream Crew โ€” tap Seed Recommended Crew to auto-populate the standard roles for a livestream of this type and complexity. You can then edit each role’s rate and quantity, remove roles you don’t need, or tap Add Crew Member to add a role manually. A note confirms: “Coverage Roles are informational only โ€” they do not add cost.” These are roles logged for reference that aren’t billed as a line item
  • Additional / Custom โ€” for roles that aren’t in the standard list. Add a position title, rate, and quantity. Tap Add Custom Position to add a row
  • Pre-Production Tasks โ€” add pre-event work as separate billable tasks with individual hours and rates. Tap Add Pre-Prod Task to add a row

The Totals section shows a live Crew Total and Pre-Prod Total in teal as you build. Tap Apply Crew to save and advance to Platform & Tech.


Tab 3 โ€” Platform & Tech #

Six sections cover the technical stack:

  • Encoder / Switcher โ€” select the encoder or hardware switcher being used
  • Streaming Platform โ€” pick the platform (YouTube Live, Vimeo, Zoom, custom RTMP, etc.) and enter the platform fee if applicable
  • Internet / Connectivity โ€” select the internet solution for the event (venue-provided, dedicated circuit, bonded cellular, etc.)
  • Graphics Package โ€” select a graphics tier and enter the graphics fee
  • Additional Equipment & Fees โ€” add any equipment or line items not covered elsewhere: toggle each row on or off, enter a label, vendor cost, billable amount, and quantity. A note clarifies: “Camera equipment is managed in Event Setup. Changes here do not affect camera rows.” Tap Add Equipment / Fee to add a row
  • CDN / Delivery โ€” enter any CDN or stream delivery fee

A live Preview section shows the running total for this tab. Tap the Apply button to save and advance to VOD & Delivery.


Tab 4 โ€” VOD & Delivery #

The VOD / Archive section has one toggle: Include VOD / Recording Edit. It’s off by default. The footer explains: “Toggle on to bill for post-event video editing and file delivery.”

When toggled on, two additional sections appear:

  • Edit Scope โ€” choose the edit type (highlight reel, full recording, multi-format cut, etc.) and the turnaround. Rush turnarounds show a multiplier note: “Rush rate ร—N applied” โ€” this multiplier is applied automatically to all archive task rates
  • Archive & Edit Tasks โ€” individual billable tasks with a toggle, task name, hours, and rate. The turnaround multiplier shows on each row. Tap Add Archive Task to add a row. Footer: “Turnaround multiplier applies to all task rates.”

The Physical Delivery (Optional) section is available regardless of the VOD toggle. Add delivery items โ€” choose a delivery method, set the media count, enter the billable per unit, and add any shipping cost. For custom delivery methods, enter a label such as “Hard Drive.” Tap Add Physical Delivery to add a row. Footer: “Physical delivery is always available regardless of VOD setting.”

The Totals section shows the running VOD subtotals. Tap Apply VOD & Delivery to finalize. All four tabs are now complete and the full Livestream scope syncs back to the estimate.
