๐Ÿ“‹ Field Mode: Manager Guide

๐Ÿ”‘ What Field Mode is

Field Mode is for your sales reps and estimators who go out on site and sell. Each field user gets a unique access code they enter on their own device. They estimate on site, export the result, and you import it into a job. Field Mode is completely separate from Crew Mode โ€” it’s for people who sell, not people who do the work.

Open Field Users #

From the home screen, tap Field Users. The nav title is Field Users. The seat counter near the top shows “N of N field users used” so you can see how many slots are available at a glance.

If no codes have been created yet, the screen shows: “No field users yet. Tap + to add your first field user.”

Create an access code #

Tap + in the top-right corner. The Add Field User sheet opens. Work through each section:

Field User Label #

Enter a label to identify this field user โ€” for example: “Sarah (Sales)” or “Mike (Field).” The footer confirms: “This label is for your reference only โ€” the field user doesn’t see it.” This is how the code shows in your list and in import records.

Access Code #

A unique code is generated automatically and displayed in the Access Code section. Tap Share Code + Setup Instructions to send the code along with onboarding instructions via Messages, email, or AirDrop. The footer states: “This code is permanent and won’t expire until you revoke it.” The field user enters this code on their device to activate Field Mode.

Field Clock-In #

Toggle Enable Clock-In / Clock-Out if this field user should clock their hours. When enabled, they see a clock-in button in their app. You can then select which jobs they’re allowed to clock in to โ€” or leave all unselected to allow clock-in without a specific job.

CRM & Pipeline #

Toggle CRM Access to let this field user view and add contacts. Toggle Pipeline Access to let them create leads and move stages in the prospect pipeline. Both are off by default.

Verticals #

Toggle Allow Vertical Switching if this field user should be able to estimate in more than one trade vertical. Your default vertical is always included. With switching on, use the Allowed Verticals subsection to select which additional verticals they can quote in.

Card & Sharing #

Toggle Digital Business Card to let this field user share a branded digital card with your company info via QR code, AirDrop, text, or NFC. Toggle Commission Tracker to let them see their running commission tally on their device, updated each sync cycle.

Tap Done to save. The code appears in the Active Field Users list.

Edit permissions after creation #

Tap any active field user row to open their detail sheet. The detail sheet has sections for Access Code, Details (label, creation date, import count), Permissions (CRM / Pipeline toggles), Card & Sharing, Additional Verticals, and Field Clock-In. After changing any permissions, tap Save Permissions to push the update. The footer confirms: “Changes are pushed to the field device on their next pricing refresh.”

Seat limits and seat packs #

Standard plans include 1 field user seat. Premium plans include 5 base seats, plus the ability to purchase additional seat packs. Each seat pack adds 10 seats permanently. To purchase, tap + when at your seat ceiling and the seat pack sheet opens โ€” tap Purchase to buy the +10 Field Seats pack. Tap Restore Purchases if you’ve already bought packs on a previous device.

โœ… Next step

Once your field user is set up, they estimate on site and export a .prfield file. You import it to create a job.
