The Travel & Fuel Surcharge Calculator builds a legitimate surcharge for jobs outside your service radius — covering actual fuel cost plus drive time compensation. It inserts as a separate line item on the estimate so the client can see exactly what they’re being charged for travel.

From inside a Pressure Washing estimate, tap the SmartScope button to open SmartScope — PW. Tap Travel / Fuel Surcharge.
Enter service area and job distance #
In Service Area, enter your Service Radius in miles — this is the distance from your base of operations within which you don’t charge travel. Enter the Job Distance in miles. Toggle Round Trip on if you’re charging both ways.
The calculator immediately flags whether the job is inside or outside your radius. If outside, it shows “Outside service radius” in orange with the overage mileage. If inside, it shows “Within service radius” in green — a useful reminder that you may not need to add a surcharge at all.
Enter vehicle and rate inputs #
In Vehicle & Fuel, enter your Fuel Cost in dollars per gallon and your Vehicle MPG. The calculator uses these to compute actual fuel gallons consumed and their cost for the trip.
In Labor & Markup, set your hourly drive rate (what your time is worth behind the wheel) and your markup percentage. The footer notes: “Drive time estimated at 45 mph average” — this is used to estimate drive time from the distance you entered.
Review the breakdown and insert #
The Breakdown section shows fuel cost (with gallon count) and drive time cost as separate rows so you can see exactly where the surcharge comes from. The result shows your total cost, the suggested client charge, and gross margin. Tap Insert into Estimate to add the surcharge as a line item.
