Preview, Finalize, and Send Your Estimate

The scope is in, the markup is set, and the Estimate Summary shows a margin you’re happy with. Now it’s time to set the payment terms, preview the PDF, and get the estimate in front of the client.


Step 1 โ€” Set the payment schedule #

Below the Estimate Summary, the Payment Schedule section lets you define how the client pays. Tap the Schedule picker and choose the structure that fits the job:

  • Deposit Only โ€” full payment up front as a deposit
  • Deposit + Final โ€” deposit to start, balance on completion
  • 1/3 ยท 1/3 ยท 1/3 โ€” three equal payments across the project lifecycle
  • Progress Billing โ€” payments tied to project milestones
  • Net 30 โ€” full payment due 30 days after completion
  • Custom โ€” set your own milestone breakdown

When you select a schedule, the milestone rows appear below the picker showing each payment’s label and percentage. Tap View Cash Flow to see a projected cash flow chart across the payment timeline โ€” useful for larger jobs where timing matters.


Step 2 โ€” Preview the PDF #

Tap the document icon (orange, top-right toolbar) to generate and preview the estimate PDF. The PDF pulls your business branding โ€” logo, colors, and contact information โ€” from your Branding settings automatically. What the client sees on the PDF matches exactly what’s in the Estimate Summary.

From the PDF preview you can share the document via any standard iOS share sheet option โ€” email, text, AirDrop, or save to Files. Most contractors email or text the PDF directly from the preview.

๐Ÿ’ก Tip: The PDF is generated from live data every time you open it. Make any last-minute adjustments to the estimate, then tap the document icon again โ€” the PDF reflects the changes immediately.


Step 3 โ€” Present or send for approval #

If you’re meeting the client in person, the actions menu on the Estimate tab gives you two additional options beyond the PDF. Tap the arrow.up.right.circle icon in the top-right toolbar to open the menu.

  • Present to Client โ€” opens Client Mode: a full-screen, professional presentation of the estimate the client can review and interact with on the spot. The client can select add-ons, ask questions, and sign โ€” all without handing over your phone to an unlocked app. Covered in detail in the Client Mode series
  • Send for Web Approval โ€” generates a secure link the client opens on their own device. They review the estimate, select any add-ons, sign, and approve โ€” without needing to be in the same room. Covered in Send Your Estimate for Remote Web Approval

After the client approves #

Once the client gives the go-ahead โ€” by phone, text, in person, or through the web approval flow โ€” update the job Status to Active from the Details tab. This moves the job from estimating into the active job pipeline. From here, the estimate converts to the basis for invoicing and the job actuals tracking begins.
