Vertical: Video Production · Access: Four dedicated SmartScope buttons in the VP estimate
Video Production SmartScope has four dedicated calculators accessed via individual buttons in the VP estimate toolbar. Each opens its own sheet and inserts into its corresponding section of the estimate.
Pre-Pro Time Estimator #
Scopes pre-production hours from a task list calibrated to your project type. In Project Type, pick Corporate, Commercial, Documentary, Event, or Social Content — each loads a different default task list with typical pre-pro hours for that production category. Tap Reset to [type] defaults to reload the defaults at any time. In Rate, confirm the base hourly rate (defaults to your saved Director/Producer rate). In Tasks, enable the tasks that apply and disable any that don’t. Tap any task row to override its hours or rate. Tap Add Custom Task to add tasks not on the default list. The footer reminds: “Defaults are starting points — adjust every row for your actual project.” The Results section shows total hours and total cost. Tap Apply to Estimate.
Shoot Day Estimator #
Estimates shoot days and crew requirements from production complexity inputs. In Interviews, set the number of interview subjects and average interview duration (15, 30, 45, 60, or 90 minutes). In B-Roll & Setup, select B-roll complexity — Minimal, Moderate, or Heavy — and set setups per day and number of locations. The section footer clarifies the math: “Each additional location adds ~1.5 hrs for travel and setup. Each setup adds ~18 min.” Set the hours per shoot day in Shoot Day. In Who’s on This Shoot?, toggle on each crew role — the section shows a live daily total. The Estimate section shows total base hours, estimated shoot days, a recommended shoot day count with buffer, and the buffer days breakdown. Tap Apply to Estimate.
Revision & Review Budget #
Prices the revision scope into the project budget and sets the change order rate for additional rounds. In Scope, set the number of included revision rounds and client review sessions. Review sessions are lighter passes — priced at 50% of a full round. In Roles & Hours per Round, enable each role involved in revisions and set hours per round. Rates default to your saved hourly rates; tap any role row to override. Results show the total revision budget to include in the project price, the Additional Round Rate for change orders (not included in the total — for your contract), and the combined revisions + reviews total. Tap Apply to Estimate.
Travel & Per Diem #
Calculates crew travel and per diem costs with your markup applied. In Mileage, enter miles driven and confirm the IRS rate (pulled from Settings — update it there if the rate has changed). In Hotel / Lodging, set nights, cost per night, and number of crew members. In Per Diem, set days, rate per person per day, and crew count. In Flights, add individual crew member flights by name and cost. Toggle on Client covers this flight for any flight the client is paying directly — toggled-off flights don’t count toward your billable total. In Markup, set your markup percentage to cover coordination, receipts, booking time, and float. The Total section shows vendor cost, markup, and billable total. Tap Apply to Estimate.
