How the import flow works #
When a field worker sends a .prfield file, you open it on your iPhone โ tapping the file in Messages, Mail, or Files hands it to PriceRight Pro. The Import Estimate screen opens. It reads the file and shows a preview card with the worker’s name (From), job name, client name, and the export date. Tap Import Job to create the job in your account.
Error: “Could not read the estimate file.” #
The file couldn’t be opened at all. Usually means the file was corrupted in transit or only partially transferred.
- Ask your field worker to resend the file. Have them open the estimate in their app, tap Export Estimate, and send it again via AirDrop or Messages โ not by forwarding an old message
- If they’re sending via email, large estimates (with site photos) can be truncated. Switch to AirDrop or Files for reliable transfer of larger exports
- Make sure you’re opening the file on the same device running PriceRight Pro, not on a Mac or iPad that isn’t signed into the same account
Error: “The file doesn’t appear to be a valid PriceRight estimate.” #
The file opened but isn’t recognized as a valid .prfield export.
- Confirm the field worker is using PriceRight Pro โ not a different estimating app โ and that they used the Export Estimate button specifically, not just sharing a PDF or screenshot of the estimate
- If the field worker is on an older version of the app, ask them to update. An outdated export format may not be compatible with a newer version on your end
- Check that the file extension is
.prfield. A.prfield.zipor renamed file won’t import correctly
“This estimate has already been imported.” #
The same estimate file has been imported before. PriceRight Pro detects duplicate imports using a unique estimate ID embedded in the file. This isn’t an error โ it’s a safeguard against creating the same job twice.
- Tap View Existing Job to open the job that was created from this estimate the first time it was imported
- If you genuinely need a second import โ for example, the field worker added photos or expenses after the first export โ have them build a revised estimate and export it as a new file. Each export from the field worker’s app creates a unique estimate ID
Import succeeded but the job doesn’t appear in the list #
If the import completed without an error but you can’t find the job:
- Check that you’re in the correct company. If you have multiple company profiles, the job was created in whichever company was active when you tapped Import Job. Open the company switcher and verify
- Pull down on the job list to refresh. CloudKit sync can occasionally delay a new record from appearing immediately
- Check your job list filters โ if you have active filters applied, the new job may be hidden. Clear filters and search for the job name
Expenses and mileage from the import #
After a successful import, an expense review sheet may appear showing expenses and mileage the field worker logged. Review and confirm these โ they’re not automatically added to the job until you approve them in this screen. If you dismissed it without reviewing, you can find the expenses in the job’s Expenses tab.
