๐ For: Field Workers โ Sales Reps and Estimators
๐ Field Mode: Field Worker Guide
- Part 1: Enter Field Mode with Your Access Code
- Part 2: Build and Export a Field Estimate
- Part 3: Use Your CRM, Visit Notes, and Reminders in the Field โ You are here
โน๏ธ Permission-gated features: Contacts and Pipeline only appear if your manager has enabled them for your access code. If you don’t see these cards on your home screen, contact your manager.
Contacts (CRM) #
Tap Contacts on the home screen to open the contact list. You can view existing contacts, search for a specific person, and add new ones. Tap any contact to open their detail view โ address, phone, email, and the notes your team has logged.
To add a new contact, tap +. The New Contact form opens. Fill in their details and save.
Log a visit note #
After a site visit or client conversation, log what happened while it’s fresh. Open the contact’s detail view and tap the button to add a note. The Add Note sheet opens.
Two fields:
- Note โ write what happened. The footer reminds you: “What happened? Log what was discussed, agreed on, or needs follow-up.” The note is automatically timestamped
- Location Tag (Optional) โ enter the address or a short description of where you were (for example: “123 Main St”). This shows on the note when your manager views it
Tap Save. The note is stored on your device and sent to your manager automatically when you export your next estimate. Tap Cancel to discard.
Pipeline #
If your manager has enabled pipeline access, a Pipeline card appears on your home screen. Tap it to open your pipeline view with nav title Pipeline. Two tabs:
- Manager Leads โ leads your manager has assigned to you that you can view and action
- My Leads โ leads you created yourself in Field Mode
Tap + to add a new lead. Fill in the contact form: Name, Company, Title / Role, Website, Phone, Phone 2, Email, Address, and any notes. Tap Save. The lead is saved to your device and syncs to your manager on your next estimate export.
On each lead card, the touch counter (โ / count / + / “touches”) tracks your outreach attempts. Tap the card to open the lead detail โ from there you can move the lead to a different stage via the Move to Stage picker. The footer confirms: “Stage change syncs to your manager on next estimate export.” Set a follow-up date inside the lead to surface it in your Pipeline Follow-Ups card.
Follow-up reminders #
Tap Follow-Up Reminders on the home screen to open your reminders list. These are reminders you set after exporting an estimate โ for example, “Follow up with this client in 3 days.” The nav title is Follow-Up Reminders.
Two sections: Upcoming (reminders due in the future) and Recent (reminders that have passed). Each row shows the client name, the estimate it’s linked to, and the reminder date in orange. To cancel a reminder, tap the โ button on the right side of its row.
When there are no reminders, the screen shows: “No follow-up reminders โ After exporting an estimate, you can set a reminder to follow up with the client.” Set reminders from the export sheet right after you send an estimate. See Part 2 for the export flow.
Pipeline follow-ups #
The Pipeline Follow-Ups card on your home screen shows reminders tied to your pipeline leads. A badge on the card shows how many are overdue. Tap it to open the follow-ups list โ two sections: Overdue and Upcoming, each with a count. If nothing is set yet, it reads: “No follow-up dates set โ Open any lead and toggle on ‘Set Follow-up Date’ to schedule one.”
