Crew Mode gives your job site workers access to a secure web portal where they can clock in and out, view their schedule, check job details, and upload photos. You control what each crew member can see and do. This article covers setup โ adding crew members and sharing their portal links. For timesheet review and approval, see Part 2.
Open Crew Mode #
From the home screen, tap the Crew module tile to open Crew Mode. The view has four tabs along the bottom โ tap each to switch:
- Live โ real-time clock status for all crew on the clock right now
- Crew โ manage crew members, links, and permissions
- Jobs โ publish jobs to the crew portal so crew members see job details
- Timesheets โ review and approve crew hours by pay period
The nav title changes to match the active tab. Tap Done (top-left) to close Crew Mode and return to the home screen. On the Live tab, tap the refresh icon (top-right) to pull the latest clock status.
Add a crew member #
Tap the Crew tab. The crew roster opens with nav title Web Crew. If no crew have been added yet, the screen reads: “No web crew yet. Tap + to create a link for your first crew member.”
Tap + in the top-right corner. The Add Crew Member sheet opens with two sections:
- Name โ enter the crew member’s name. The footer confirms: “This name appears in the portal greeting and your clock log.” This is how they’ll be identified in timesheets and on the Live tab
- Portal Permissions โ toggle on the actions this crew member is allowed to take in the portal. Permissions include: viewing the schedule, viewing crew notes, viewing the shot list, clocking in and out, uploading photos, marking tasks complete, and adding notes. Toggle only what’s relevant to their role
The Create button (teal, top-right) is disabled until you enter a name. Tap it to save. The crew member appears in the Active section of the roster.
โน๏ธ Seat limit: Standard plans include up to 5 active web crew members โ shown as “Active (N/5)” in the roster header. Premium plans have unlimited seats, shown as “Active (N/โ)”. If you’re at the limit, tapping + shows an alert: “Seat Limit Reached โ You’ve used all 5 Standard web crew seats.”
Share the portal link #
Tap a crew member’s row to open their detail sheet. The Crew Link section shows their personal portal URL โ a unique link in the format pricerightpro.app/crew/[your-id]/[token]. Two ways to share it:
- Tap the copy icon next to the URL to copy it to your clipboard, then paste it into a text message or email
- Tap Share Link to open the iOS share sheet and send directly via Messages, WhatsApp, or any other app
The footer explains: “Share this link once. The crew member bookmarks it โ it never expires until revoked.” The web portal is the primary path for crew members on Android devices โ they open the link in any browser, bookmark it, and use it every time they clock in or out. No app install required. iOS crew members can use the portal the same way, or clock in through the PriceRight Pro app if the manager has given them app access.

Edit permissions or revoke access #
To change what a crew member can do in the portal, tap their row to open the detail sheet. The Portal Permissions section shows all permission toggles โ changes save immediately. The row subtitle in the roster updates to reflect whether clock-in is enabled: “Clock-in enabled” or “View only.”
To remove a crew member’s access, tap Revoke Access (red, bottom of the detail sheet). Their link stops working immediately. A revoked crew member moves to the Revoked section in the roster. Their record stays so you have a history โ delete it from the Revoked section if you no longer need it. To re-invite them, create a new crew member record and share the new link.
Pending sync banner #
If a clock action or approval couldn’t reach the web portal due to a connection issue, an orange banner appears above the tab bar: “N change(s) pending sync.” Tap Sync Now to retry immediately when you have a connection. If you need to discard an unsynced change, tap Dismiss on the individual entry โ a confirmation warns: “This change will not reach the web portal. This cannot be undone.”
