Build an Estimate: Coaching and Session-Based Services

πŸ’Ό What makes this vertical different

The Coaching estimate builder is designed around programs, not line items. Instead of scope and materials, you’re pricing sessions, packages, and deliverables β€” then structuring a payment plan the client signs off on. The estimate doubles as a proposal document that can go straight to the client as a PDF.


Step 1 β€” Create the job and switch to the Estimate tab #

Tap + from the home screen, select Coaching as the vertical, fill in the Job Info β€” program name, client details, start and end dates β€” and tap Save. Then tap the Estimate tab.


Program Overview #

The top of the estimate shows a Program Overview card β€” a read-only summary of the client’s name, email, phone, program dates, proposal number, and program name pulled from the Details tab. It’s how the estimate knows who this proposal is for. To edit any of these details, switch back to the Details tab. There’s a note at the bottom of the card reminding you of this.


Services & Investment #

The Services & Investment section is where you build the program scope. Tap Add Line Item to add a service. Each line item has a Service name, an optional Description, a Taxable toggle, and a price field. Tap the trash icon to remove a line item.

Tap Coaching Tools in the SmartScope strip above to use the Coaching calculator β€” it structures session counts, hourly rates, and package pricing and inserts the result as line items. If no items are added yet, the section shows the empty state: “Use Coaching SmartScope above to add services.”


Discount & Tax #

The Discount & Tax section has three fields: Discount Type (flat dollar or percentage, segmented control), Discount Amount, and Tax Rate (%). These only activate after you’ve added at least one service. If no services are added yet, the section shows “Add services first.”


Payment Plan #

The Payment Plan section is unique to Coaching. Set the Deposit percentage the client pays at signing, then use the Remaining Installments stepper to set how many installment payments follow. Once you’ve added services, the section shows three live rows: Due at signing, N Γ— installments, and Total β€” all calculated from the program total and the percentages you’ve set.


Notes & Terms #

The Notes & Terms field is a multiline text area for your cancellation policy, what’s included, refund terms, or anything else that belongs in the proposal. The placeholder reads: “Cancellation policy, what’s included, agreement terms…” This text appears on the PDF the client receives.


Preview and send #

Tap the document icon (orange, top-right toolbar) to preview the Coaching PDF β€” a branded proposal document with the program overview, services, payment plan, and notes. Share it via email, text, or AirDrop directly from the preview.
